Project Progress - Resources Tab - Screen Description

The Resources tab allows you to manage the resource schedule for the project. From this tab, you can add resources to tasks, provide an estimate to complete the task, and then schedule time-phased assignments for each resource.

Once completed, you can submit the plan. This makes the plan available to resource managers to review, update, and publish assignments. For more information, see age Resource Plan.

Click the Show Levels button to limit the depth of the project task structure that is displayed. The options are limited to the number of levels defined and the default display is the lowest level.

Resource Assistant

Click the Resource Assistant button to display the Resource Assistant dialog box. This allows you to add multiple resources across multiple tasks.

Restrictions

As you review the resource plan, you can use the following restrictions, which are available at the top of the Results pane, to control the displayed data. Selections in these fields are automatically displayed on the Results pane.

Timescale

Click the Timescale button and then select if you want to assignments to display by Month / Week (default) or Quarter / Month in the Hours section of the Results pane.

The year / month displays in the top section of the header and the date range displays below this, for example, 9/12 - 9/18.

If you update this field once an assignment period date range is entered, the dates are updated to the corresponding scheduling period or scheduling date that matches the previous selection.

Views

Click the Views button and then select the version of the plan to display in the Hours section of the Results pane:

  • Current (default): This view displays an editable view of the current working schedule.
  • Current vs. Baseline: This view displays an editable comparison of the current plan to the baseline of the plan.
  • Current vs. Published: This view displays an editable comparison of the current plan to the published plan. This includes an editable view of the current plan and a view of the published plan with italicized discrepancies highlighted in yellow. The published plan only includes employee and labor resource class rows and does not include discrepancies with the other rows.
  • Baseline: This view displays a read-only view of a baseline of the plan. It defaults to the baseline currently selected on the content toolbar, but a different baseline can be selected. When no baselines have been created, this view is disabled. For more information about baselines, see Manage Baselines.
  • Baseline vs. Current: The Baseline view displays a read-only comparison of a baseline of the plan to the current plan. This includes a read-only view of the baseline plan and a view of the current plan with italicized discrepancies highlighted in yellow. When no baselines have been created, this view is disabled.
  • Published: This view displays a read-only view of published assignments for the plan. The published plan only includes employee and labor resource class rows.
  • Published vs. Current: This view displays a read-only comparison of the published plan to the current plan. This includes a read-only view of the published plan and a view of the current plan with italicized discrepancies highlighted in yellow. The published plan only includes employee and labor resource class rows and does not include discrepancies with the other rows.

Resources Pane

The Resources pane displays a hierarchical list of project tasks with assigned resources displayed below each task. The pane is divided into three sections, which include task assignments, assignment details, and totals data.

Task Assignments

The Task Assignments section, which is the left section of the Resources pane, displays a hierarchical project task list with the assigned resources. The list consists of Task rows and Resource rows that share a common set of columns; the values vary by the type of row. The Task rows display the task hierarchy defined on the Project - Tasks Tab - Screen Description. The Resource rows can be added or deleted beneath any task row.

  • Task Rows: The outer levels of the list, or the task rows, displays the read-only hierarchical task structure for the project. This list stays synced with selections on the Tasks and Earned Value tabs.
  • Resource Rows: The second level of the list, or the resource rows, displays a row for each resource assigned to a task. Resources can be added and deleted, as needed. Resources are listed in the order they were added, but they can be reordered as needed and the structure will display for all viewers of the project. The columns for resource rows are common with the task rows save for the Name column. This column will present resource name rather than task name.

The following columns of information are available for each row of information. The default columns are marked with an indicator ( ). For information on how to display the optional columns, see Manage Columns.

Column Name Description
  Adjusted Cost Rate Initially reflects the same value as the Cost Rate for labor resources but may be modified to influence the calculated cost for estimating purposes. This rate has no effect on actual cost.
  Baseline Estimated Cost Displays the calculated estimated cost for labor and expense resources from the selected baseline version of the plan.
  Baseline Estimated Effort Displays the calculated estimated effort for labor and expense resources from the selected baseline version of the plan.
  Baseline Estimated Expense Cost

Displays the entered estimated expense cost for expense resources from the selected baseline version of the plan.

  Baseline Estimated Hours

Displays the entered estimated hours for labor resources from the selected baseline version of the plan.

  Baseline Resource Displays the resource from the baseline version of the plan.
  Baseline Resource Type Displays the resource type for the resource from the baseline version of the plan.
  Budget Category Displays the resource's budget category. This is derived from the resource's resource class.
  Budget Cost

Displays the total budget cost value across all budget categories. Budget Cost only displays on task rows.

It appears at the level where budgeting is performed and sums up the task hierarchy.

 

Note: The Budget Cost value updates as budgets change. Budget Cost responds to manual budget cost updates as well as updates occurring through the Sync Project to Control Settings and Sync Budgets to Resources functions.

  Budget Cost Rate

Displays the Budget Cost (labor) / Budget Hours (labor) value. Budget Cost Rate uses values from labor budget categories only.

This value is calculated on individual task rows and does not roll up.

  Budget Effort

Displays the total budget effort value across all budget categories. Budget Effort only displays on task rows.

It appears at the level where budgeting is performed and sums up the task hierarchy.

 

Note: The Budget Effort value updates as budgets change. Budget Effort responds to manual budget effort updates as well as updates occurring through the Sync Project to Control Settings and Sync Budgets to Resources functions.

  Budget Gross Profit

Displays the Budget Effort – Budget Cost . This value is calculated only if Budget Effort and Budget Cost have values.

This value is calculated on individual task rows and does not roll up.

  Budget Gross Profit %

Displays the (Budget Effort – Budget Cost) / Budget Effort X 100. This value is calculated only if Budget Effort and Budget Cost have values.

This value is calculated on individual task rows and does not roll up.

  Budget Hours

Displays the total Budget Hours value (not Initial Budget Hours) entered for a task across organizations and budget categories. Budget Hours only displays on task rows.

This value appears at the level where budgeting is performed and sums up the task hierarchy.

  Budget Net Labor Multiplier

Displays the (Budget Effort – Budget Cost (expense) / Budget Cost (labor). This value is calculated only if Budget Effort and Budget Cost (labor) have values.

This value is calculated on individual task rows and does not roll up.

Comment Enter a comment about the task (task row) or the resource assignment (resource row).
  Company

For task rows, this displays the company associated with the task.

For resource rows, enter or select a company. This defaults to the employee's company or the task's company for labor resource classes, expense resource classes, and vendors.

  Cost Rate Displays the cost rate for labor resources using the specific resource rate or an override derived from labor cost pricing on the project. Rates are retrieved based on the task start date.
Description Enter a description of the task (task row) or the resource assignment (resource row).
 

Discipline

Enter or select an active discipline to associate with the assignment. This defaults to the resource's discipline.

This field only applies to labor resources and is blank for vendors and expense resource classes.

  Duration Displays the number of working days for the task.
Estimated Cost

Displays the estimated cost. This value is automatically calculated and is dynamically updated.

 

Note: Estimated cost calculated for labor resources approximates actual cost unless the cost rate is overridden by a Max Bill Cost Rate Schedule, Bill Cost Rate Schedule, or Adjusted Cost Rate. In that case, estimated cost approximates the cost used for billing.

  Estimated Cost Rate

Displays the Estimated Cost (labor) / Estimated Hours (labor). This value is focused on labor resources and is calculated only if Estimated Cost and Estimated Hours have values.

This value is calculated on individual task rows and does not roll up.

 

Note: This value is suppressed for unauthorized users.

Estimated Effort Displays the estimated effort. This value is automatically calculated and is dynamically updated.
Estimated Expense Cost

Enter the amount of estimated expense cost. This is only editable for expense resources.

Once defined, this value can be spread across a time period for the resource. For more information, see Spread Estimated Values.

  Estimated Gross Profit

Displays the Estimated Effort – Estimated Cost.

This value is calculated on individual task and resource rows and does not roll up.

  Estimated Gross Profit %

Displays the estimated gross profit percent. This is calculated as: ((Estimated Effort - Estimated Cost ) * 100) / Estimated Effort.

The calculated values are displayed for all levels of the hierarchy.

Estimated Hours

Enter the number of estimated hours. This is only editable for labor resources.

Once defined, this value can be spread across a time period for the resource. For more information, see Spread Estimated Values.

  Estimated Net Labor Multiplier

Displays the estimated net labor multiplier. This is calculated as: (Estimated Total Effort - Estimated Expense Cost ) / (Estimated Labor Cost).

The calculated values are based on the task level and do not pertain to the individual resource rows because they require labor and expense values.

Finish Date

Displays the finish date.

For task rows, this displays the date that the task will be completed. Assignments can be entered for any date regardless of when the task is scheduled to finish.

For resource rows, this displays the date of the last assignment for the resource.

 

Location

Enter or select an active location to associate with the assignment. This defaults to the resource's location.

This field only applies to labor resources and is blank for vendors and expense resource classes.

Name

Displays a name for the row. For task rows, this is a combination of the task name and task code. For resource rows, this is the resource name.

  Organization

For task rows, this displays the organization associated with the task.

For resource rows, enter or select an organization. This defaults to the employee's company or the task's company for labor resource classes, expense resource classes, and vendors.

Resource Class

Displays the resource's resource class. This defaults to the name of the generic resource class, the employee's labor resource class, or the vendor's expense resource class.

 

Resource Pool

Displays the resource's resource pool. This field only applies to labor resources (employees and labor resource classes) and is blank for vendors and expense resource classes.

Employees are always assigned to a resource pool, and labor resource classes may or may not be assigned to a resource pool, but when either is assigned, this field is read only. If a resource pool was not defined for the resource, this field defaults to the resource pool of the task manager and can be edited.

  Resource Pool Manager Displays the resource's resource pool manager. This field only applies to labor resources and is blank for vendors and expense resource classes.
Resource Type

Displays the resource type. For task rows, this column is blank.

For resource rows, this is derived from the resource. Resource types include Employee, Labor Resource Class, Vendor, and Expense Resource Class.

  Scheduled Cost Rate

Displays the Total Scheduled Cost (labor) / Total Scheduled Hours (labor). This value is calculated only if the Scheduled Cost and Scheduled Hours have values.

This value is calculated on individual tasks and does not roll up.

 

Note: This value is suppressed for unauthorized users.

  Scheduled Gross Profit

Displays the Scheduled Effort – Total Scheduled Cost.

This value is calculated on individual task and resource rows and does not roll up.

  Scheduled Gross Profit %

Displays the scheduled gross profit percent. This is calculated as: ((Scheduled Total Effort - Scheduled Total Cost ) * 100 ) / Scheduled Total Effort.

The calculated values are displayed for all levels of the hierarchy.

  Scheduled Net Labor Multiplier

Displays the scheduled net labor multiplier. This is calculated as: (Scheduled Total Effort - Scheduled Expense Cost ) / (Scheduled Labor Cost).

The calculated values are based on the task level and do not pertain to the individual resource rows because they require labor and expense values.

Start Date

Displays the state date.

For task rows, this displays the date that the task will begin. Assignments can be entered for any date regardless of when the task is scheduled to start.

For resource rows, this displays the date of the first assignment for the resource.

Assignment Details

The Assignment Details section, which is the middle section of the Resources pane, provides time-phased columns that allow you to schedule and review assignments for the project tasks.

This section displays up to twelve defined scheduling periods (months or weeks) and defaults to time period associated with the current date or the start date of the project if it is a future date. Each time period is displayed in a stacked format, which includes the period (combination of the period name and year), related dates, and assignment types. For a weekly view, hover over a column heading to display the full date range.

Assignments are distributed and stored by day within the timescale period.

The Views restriction specifies if this section displays the current, published, baseline, or a comparison of two plans. For more information on comparison views, see Compare Resource Plans.

When in the Current Plan, Current vs. Baseline, or Current vs Published plan view, you can enter, edit, or delete resources and assignments. The column display can be toggled, but at least one of the column types must be selected; for more information, see Manage Columns.

  • Hours: Enter the number of hours that the labor resource class or employee will work on the task. When a value is entered, the Cost and Effort columns are updated. The Hours column is read-only on expense resource rows.

    When the screen is loaded or hours are entered for an employee, all of the employee's assignments are analyzed to determine allocation. If the employee is over allocated, a red, up arrow () displays to the right of an assignment value. The indicator rolls up to the task row. For more information, see Allocation.

  • Expense Cost: Enter the cost for the expense resources. When a value is entered, the Effort column is updated. The Expense Cost column is read-only on labor resource rows.
  • Effort: Displays the calculated effort. This is calculated immediately upon entry of either Hours or Cost and is always read-only.
  • Cost: Displays the calculated cost. This is calculated immediately upon entry of either Hours or Expense Cost and is always read-only.

    Cost calculated for labor resources approximates actual cost unless the cost rate is overridden by a Max Bill Cost Rate Schedule, Bill Cost Rate Schedule, or Adjusted Cost Rate. In that case, estimated cost approximates the cost used for billing.

In addition, when an assignment is not confirmed, you can mark it as tentative. Tentative assignments are displayed with a dash () to the right of an assignment value. Due to the different timescale views, a cell could contain tentative and non-tentative assignments; cells with a combination of assignments display with a broken dash () to the right of the assignment value. The indicator rolls up to task row.

For each task, the task row displays a roll up total of all resource assignments. In addition, two rows at the bottom of the grid display assignment totals. The first row displays a straight total of all assignments displayed in the grid and the second row displays assignment totals of assignments for chargeable tasks.

Totals

The Totals section, which is the last section of the results pane, displays totals for each row and column type (Hours, Expense Cost, Cost, and Effort) across the entire project (not just the displayed date range). The available columns will match your displayed columns in the Hours section. The totals are updated as you enter and edit assignments.

A total of each column is displayed on the bottom line of the grid.
