Bill Adjustment
The Bill Adjustment screen allows you to maintain the following information by a selected project and bill term:
- Bill control items
- Bill variable descriptions
- Historical values by bill term (displayed on prebills and invoices)
This is used by the Final Bill and Final Bill Void posting processes to populate bill count, bill control items, and variable descriptions as needed.
General
In the General area, enter general information about the bill adjustment.

| Suffix |
Enter or select any active input document suffix that is available for the current document type. This can be used in reports to select or sort documents. |

Posting Date | Enter or select the posting date. This date is used to associate the document with a posting period. The posting date must allow this document type as an input and its posting period must be in an Open or Pending Close stage. |

Project | Enter or select an active project. The adjustment will be done for the selected project. Once information is entered in the Bill Control Items or Variable Description areas, this value cannot be edited. |

Bill Term | Enter or select an active bill term for the selected Project. |
|
Document Number | Enter a unique document number to identify this document. This field automatically prepopulates and be read-only if an auto-counter has been defined for this type of document. |

Document Date | Enter or select the document date. The default is the current date. |

Bill Count | Displays the change in the number of invoices issued to date for the selected Project and Bill Term. A bill adjustment adds one to this value and a final bill void will subtract one from this value. |

Bill Amount | Displays the change in amount billed for the selected Project and Bill Term. |
|
Tax Amount | Displays the change in tax amount billed for the selected Project and Bill Term. |
|
Retainage Amount | Displays the change in retainage amount for the selected Project and Bill Term. |
|
Collect Amount | Displays the change in amount collected for the selected Project and Bill Term. |
Bill Control Items
In the Bill Control Items area, enter the maintenance amounts for the bill controls for the selected Project and Bill Term. This is only needed when amounts need to edited and is usually done during a conversion or when the project billing structure has changed and needs to be moved or consolidated. This is also used by the Final Bill and Final Bill Void posting processes.

| Bill Control Summary |
Enter or select a bill control summary instance. If a Project and Bill Term are selected, only instances that belong to those values can be selected. When an instance is selected, other values for the line item are defaulted and cannot be edited. |

Bill Control | Enter or select an active bill control type. Only bill control types that have an existing history or are used by the bill format of the selected Bill Term can be selected. This is read-only when a Bill Control Summary instance is selected. |

Enter or select a bill task or task. This is required if used on the selected Bill Control and is read-only if not used on the selected Bill Control or the Bill Control Summary instance has a value. |

| Fee Type |
Enter or select an active fee type. This is required if used on the selected Bill Control and is read-only if not used on the selected Bill Control or the Bill Control Summary instance has a value. |

| Budget Category |
Enter or select an active budget category. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| EVC Type |
Select Employee, Vendor, or Client. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

Enter or select an active or pending inactive employee, vendor, or client. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Labor Bill Class |
Enter or select an active or pending inactive labor bill class. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Activity Type |
Enter or select an active or pending inactive activity type. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Hours Type |
Enter or select an active or pending inactive hours type. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Overtime |
Select if the adjustment is for overtime hours. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Cost Basis |
Select if the cost basis is Hours or Cost. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is None and read-only. |

| Effort Basis |
Select if the effort basis is Rate or Multiplier. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is None and read-only. |

| Date |
Enter or select the date. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Tax |
Enter the tax amount. This field is required if used on the selected Bill Control. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. |

| Bill Surcharge | Enter or select a bill surcharge. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. | |
| Unit | Enter or select a unit. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. | |
| Equipment | Enter or select an equipment code. If it is not used on the selected Bill Control or the Bill Control Summary instance has a value, this field is read-only. | |
| Agency Pool Type |
Enter the Agency Pool Schedule Agency Pool Type of the Bill History Recorded. This field defaults to blank and becomes enabled if it is a selected attribute on Bill Control and the Bill Control Summary field is selected. When entering new Bill History, select an Agency Pool Type that belongs to the Project Bill Term’s Agency Pool Schedule in order for the Bill History to appear on the Agency Pool CPFF Bill Report. This field is read-only if it is not a selected attribute on Bill Control and the Bill Control Summary field is not selected. |

| Labor / Expense |
The Agency Pool Schedule type (Labor or Expense) of the Bill History Recorded. This defaults to None, with Only Active Status items returned. This is required if it is a selected attribute on the Bill Control and Bill Control Summary field is selected. This field is read-only if it is not a selected attribute on Bill Control and the Bill Control Summary field is not selected. When entering new Bill History, select the correct indicator for the Bill History to display on the Agency Pool CPFF Bill Report.

| Amount | Enter the new total amount for the selected Bill Control. This is required when the Bill Control is an override type or if a value is not entered in Change Amount. | |
| Change Amount | Enter the incremental change amount for the selected Bill Control. This is required if a value is not entered in Amount. This is read-only when the Bill Control is an override type because an override should be entered as a total. | |
| Status | Select if the Bill Control Summary instance is used when an invoice is created (Active). When the status is Inactive or Ignore (similar to delete), the value is not included on the invoice. | |
Variable Descriptions
In the Variable Descriptions area, enter the text descriptions to print on the next client invoice. Variable descriptions are deleted when a final invoice is posted.
