Prebills (Inquiry)

The Prebills Inquiry allows you to query for and view a listing of draft and final prebills.

The Prebill Inquiry has a right click context menu that allows you to view the bill packet associated with the Prebill in a preview pane. This is disabled if the bill packet is not available. This preview is an assistant that opens on top of the Prebill Inquiry.

In addition, the Prebills Inquiry is a Supervisory Review Inquiry, which provides additional options to approve, cancel, recall, restate, save and submit draft prebills. For more information, see Supervisory Review (Billing).

The Prebills Inquiry provides the ability to view attachments on documents. See attachments for more information.

Restrictions

The inquiry includes the following default restrictions:

From Posting Date

Enter or select a posting date. This is the first date in the date range to include open items. This field defaults to the current posting period.

To Posting Date Enter or select a posting date. This is the last date in the date range to include open items. This field defaults to the current posting period.
  Project Enter or select a project to further limit the list.
  Source

Select the source of the prebills. The options are: blank, Draft or Final. This field defaults to blank, which will return both drafts and finals in the list.

Note: The Current Bill restriction allows you to include Prebills that have been reviewed (checked), Prebills that are deferred (unchecked) or both reviewed and deferred Prebills (solid) in the inquiry. A Prebill where the Current Bill is unchecked will not generate a Final Bill when the Final Bill Request has Include Unreviewed Bill Items unchecked.

Results

The inquiry contains a single level of prebill information, which includes Project Code, Project Name, Bill Term Code, Document Number, Document Date, Posting Date, Currency, Billable Effort, Bill Amount, Tax Amount, Bill Amount Excluding Tax, which is calculated as Prebill Bill Amount less Prebill Tax Amount, Workflow, State, and Source. Print Reports

  1. Select one or more line items on the inquiry results.
  2. Click the right mouse button and select the Print option.
  3. The Print Reports dialog box appears and the user selects an available printer (must be setup and configured on the server.)
  4. Click the Print button. The reports associated with the line items will print in the order displayed on screen. A message displays below the Tabs row at the top of the Content pane indicating that the report was sent to the target printer:

 

 

Note: In the Navigation pane of the Prebill Inquiry, selecting the Can Do icon displays a list of prebills that you have access to but are not expected to take actions on. The prebills will at times display a prefix of * or + or both. The * indicates that a prebill has been changed, such as a transfer or hold has occurred on the prebill. The + indicates that a prebill was deferred.
