Open a Document
The Open option allows you to search for and open documents. Only documents that you are authorized to view and edit can be opened. Multiple instances of a document type can be opened at once.

Search for and Open a Document
- Click the Open
button.
The Open dialog box displays. The available document types are based on your security settings. - In the Types or Folder area, select the document type to search for. The Types area contains a list of document organized alphabetically by document type while the Folder area contains a list of documents organized into system folders.
- In the search area, enter any additional search criteria. If needed, click the expand
button next to the Results heading to display the restrictions area, which allows you enter advanced search criteria. For more information, see Restrictions. - Select if you are searching for document that are in the Draft or Final database.
- Click the Search
button.
A list of items that match the entered criteria display in the Results area. The number of instances returned is dependent on the default number of query results to return. - Select one or more items to open. To view additional details about a item, hover over the document type icon or hover over the information
button. - Click the Open button.
The dialog box is closed and the selected items are displayed in the content pane.
Clear Results
To clear the search criteria and search results, click the drop-down list next to the Search
button and then select the Clear option.
Update Search Options
To change search options, click the drop-down list next to the Search
button and then select the Options option. The Options dialog box will display, which allows you to update the Maximum Number Retrieved in searches for the current session. The default value is defined in .
Add a New Document Instance
After you have searched for a document , if it does not exist and needs to be entered, click the New
button. A new document of the document type selected in the Types or Folder area is created. For more information on how to add new document, see Add a Document.
