Add Attachments
The Attachments tab allows you to add attachments to a document instance. Attachments can only be added to documents that have been configured for attachments. In addition, your ability to add an attachment is dependent on your security settings.
Add a File Attachment
This process describes how to add a file type attachment to a document instance.
Note: In addition to this process, files from a single file directory can be dragged and dropped on to the Attachments tab to be added to the active document instance. However, this functionality is not available when the system is accessed from BST10 Cloud.
- Open the document instance or area of the document instance where you want to add the attachment.
- From the Attachment tab, click the Add
button and then select the File option. When in List view, you can also click the right mouse button and select the Add File option.
The Attach Files dialog box displays. -
Select one or more files to attach.
Note: If you select a file with the same file name as another attachment on the active document, the existing file instance is updated and a new attachment instance is not added; For more information, see Replace a File Attachment.
- Click the Open button.
The progress of the upload and any errors display on the system status bar. If you select a file that is too large or has an excluded file type, a message displays and the file cannot be attached. Once the selected files are uploaded to the BST11 attachment file repository and attached to the document instance, an informational banner displays at the top of the tab.
Add a File Attachment using Drag and Drop Zone
This process describes two methods of how to add a file type attachment to a document instance using the Attachments tab integral Drag and Drop Zone.
The first method is to literally "drag and drop".
- Open the document instance or area of the document instance where you want to add the attachment.
- Open the Attachments tab.

Open a file source and select one or more files to attach, then drag them to the Drag and Drop Zone on the Attachments tab.
Note: If you select a file with the same file name as another attachment on the active document, the existing file instance is updated and a new attachment instance is not added; For more information, see Replace a File Attachment.
- Release the mouse button.
The progress of the upload and any errors display on the system status bar. If you select a file that is too large or has an excluded file type, a message displays and the file cannot be attached. Once the selected files are uploaded to the BST11 attachment file repository and attached to the document instance, an informational banner displays at the top of the tab.
Another method to add attachments is to use the Browse button in the drag and drop zone.
- Open the document instance or area of the document instance where you want to add the attachment.
- Open the Attachments tab.
- Click the Browse button.
The Attach Files dialog box displays. -
Select one or more files to attach.
Note: If you select a file with the same file name as another attachment on the active document, the existing file instance is updated and a new attachment instance is not added; For more information, see Replace a File Attachment.
- Click the Open button.

Add a Path Attachment
This process describes how to add a path type attachment to a document instance.
- Open the document instance or area of the document instance where you want to add the attachment.
- From the Attachment tab, click the Add
button and then select the Path option. When in List view, you can also click the right mouse button and select the Add Path option.
The Path dialog box displays. -
Enter the following information:

Title: Enter a name for the attachment. Up to 256 characters can be entered. -
Path: Enter the path for the attachment. This can be a URL or a network path. - Comment: Enter any comments about the attachment.

- Click the OK button.
The entered path is attached to the document instance.
Attach an Existing File or Path Attachment
This process describes how to add an existing attachment on the current document instance to other document instances in the system.
- Open a document instance that contains the attachment.
- Click the he Add
button and then select the Attach option. When in List view, you can also click the right mouse button and select the Attach option.
The Attach dialog box displays. - In the search area, enter any additional search criteria. If needed, click the expand
button next to the Results heading to display the restrictions area, which allows you enter advanced search criteria. For more information, see Restrictions. Click the Search
button
A list of matching document instances is returned. - Select one or more document instance to add the attachment to.
- Click the OK button.
Once the selected attachments are added to the active document instance, an informational banner displays at the top of the tab. If the attachment already exists, a message displays, allowing you to either delete the existing attachment or cancel the attach action.
