Manage Attachments

The Attachments tab allows you to manage attachments that have been added to a document instance. You must have access to edit the document instance in order to edit attachments.

Open an Attachment

This process describes how to download a file attachment or open a path attachment. If you do not have the necessary application to open a file attachment, the icon will display as a blank sheet of paper and the file cannot be opened.

Note: Once any file downloads are completed, you can select the Open Downloads Folder option in the system status bar to see all of the files that have been downloaded.

  1. Open the document instance or area of the document instance where the attachment was added.
  2. From the Attachments tab, select the attachment.
  3. Click the Open button. When in List view, you can also click the right mouse button and select the Open option.
    File attachments are downloaded and then opened in the appropriate application; by default files are downloaded to the C:\Users\<username>\Downloads directory on your computer. Details or any errors for each file's progress is displayed in the system tray. Path attachments are opened in the appropriate application; for example, a URL is opened in your default browser.

Replace a File Attachment

This process describes how to replace a file attachment with an updated file.

  1. Open the document instance or area of the document instance where you want to add the attachment.
  2. From the Attachment tab, click the Add button and then select the File option. When in List view, you can also click the right mouse button and select the Add File option.
    The Attach Files dialog box displays.
  3. Select the updated file. The file must have the same name as the current attachment.
  4. Click the Open button.
    The file is updated for all document instance where the original file was attached.

Update Attachment Information

This process describes how to update the information that is stored with each attachment. The available fields for each attachment can only be edited after the attachment is uploaded.

In either view, click an editable cell or edit a field to update a value. The following attachment fields can be edited. For information on the other read-only fields, see Attachments Tab - Screen Description.

Field Description
Name

Enter a name for the attachment. For file type attachments, this defaults to the file name but can be edited. For path attachments, this is required. Up to 256 characters can be entered.

File Name / Path

For path type attachments, enter the path for the attachments. This can be a URL or network path.

For file type attachments, this field defaults to the file name and is read-only.

Comments

Enter any comments about the attachment.
