Draft and Final

As a document instance moves through a workflow, the data is stored in the draft database. While in the draft database, users can work on the instance, save their changes, and open the instance as needed. Once the instance has moved through the workflow and has been approved, the data is moved to the final database. For more information on workflows, see Workflow.

Edit a Draft Instance

On an initial instance that is still in draft or an edited final instance that is moved back to draft, you can open the instance, save changes, and move it through the normal workflow.

Edit a Final Instance

When a document instance is in final and is opened and edited, a copy is added to the draft database and moved through the workflow. This can only be done for maintenance type documents. During this process, the original, approved version stays in the final database. When the edited version in the draft database is approved, it replaces the original version in the final database.

When a final instance is opened an a draft instance exists, an information banner displays at the top of the content pane with a link to the draft instance. For more information, see Open a Document and Review Messages.
