Manage Tasks

From the Project - Tasks tab, a context menu is available by either a right-click in a grid or a left-click on a row selection that allows you to add tasks, schedule start and finish dates, link and unlink tasks, and assign resources.

Use the following information and steps to manage tasks:

Add Tasks

Use the following to add tasks to projects. New task rows are added after the highlighted task, inserted before the highlighted task, or directly under the root task if there are no other task rows.

  • Click the Add button.
    A new task row is added in the Assignment Details view.
  • Click the right mouse button and then select the Add or Insert option.
    A new task row is added in the Assignment Details view.
  • On a blank task row, you can directly enter a task.

A particular condition related to project Variance Level will disable the Add Task function. When the Variance Level option Lowest is selected, the lowest level task is used for budgeting. Once a budget is added on that level, the Add Task function is disabled. That budget must be deleted before a child task can be added below that task.

Move a Task

Once tasks are added, use the following to change the task hierarchy.

  • Right click the task row, and then select to Indent, Outdent, Move Up, Move Down the task.
  • Select a task row, and then drag and drop it to the new location.

Indent and Outdent are only allowed on tasks that have no charges, such as from a timesheet, journal entry or revenue adjustment that is not related to a task that has charges or revenue adjustments.

Delete a Task

As needed, a task can be removed from the project. However, if a task has a charges posted or budget remaining, the task cannot be deleted.

  • Select a task row, and then click Delete.

If a task is deleted, any associated resources and assignments that have been entered on the Resources tab are also deleted from the current project resource plan, published resource plan and any saved baselines.

Shift Task Dates

As needed, task start and finish dates can be shifted forward or backward in time in bulk. For more information, see Shift Tasks.

Link and Unlink Tasks

Tasks can also be linked and unlinked.

Link is available when two or more tasks below the project level are selected.

  • Select the task and / or task rows and then click Link.

The following rules apply to link tasks:

  • Separate tasks can be selected using:
    • Shift and then click on task rows for a block of tasks
    • Ctrl and then click on a task for an individual task
    • Ctrl and Shift and then click on task rows for additional blocks of tasks
  • The order in which tasks are selected determines how dependencies cascade, so the first task selected precedes the second and the second selected precedes the third
  • When using the Shift and click option and the Ctrl and Shift and click option to select blocks of tasks, the dependencies cascade within each block from lowest line number to highest line number

Unlink is available when one or more tasks with dependencies are selected.

  • Select the task and / or tasks rows and then click Unlink.

The following rules apply to unlink tasks:

  • If one task is selected to Unlink, all links will be removed from the task as well as the links on the associated tasks
  • If more than one task is selected, only links related to the selected tasks will be removed
