Project - Tasks Tab: Authorizations

The Authorizations view displays all organizations that are authorized for transactions on the selected task. This allows users to add, edit, and delete authorizations for project tasks. Each company and organization that has been authorized for any task in the project displays in the view.

If the company and organization to be budgeted are not currently authorized for the project, an authorization for that company and organization is automatically added to the Authorizations view with all of the options allowed.

Screen Description

Authorization rows are either inherited from parent tasks or entered directly on a subtask. Any row may be overridden and the override is indicated by the flag column. When an inherited row with an override is deleted, the inherited row remains in the list and only the overrides are removed. Duplicate rows entered for a Company and Organization combination cause the project to fail validation.

When you hover over any checkbox, the current value displays above the initial value. The two values are identical unless a change is made. Use the Up-arrow and Down-arrow buttons to easily move between tasks.

The default columns are marked with an indicator ( ). For information on how to display the optional columns, see Manage Columns.

  Column Description
  Flag

Displays if there is an override or when a new row is added.


Company Enter or select the active and pending active company that owns the task.

Organization

Enter or select the active and pending active organization that owns the task.

This column is disabled if the Project Authorization Basis is Company and all organizations for the stated company are allowed to charge the project.

Regular Labor Select if regular labor, which is typically entered through timesheets, can be charged to the task.
Regular Expense Select if regular expenses, which is typically entered through vouchers, can be charged to the task.
Labor Adjustment Select if labor adjustments, which is typically entered through prebill transfers and labor adjustments, can be charged to the task.
Expense Adjustment Select if expense adjustments, which is typically entered through prebill transfers and expense adjustments, can be charged to the task.

Maintain Authorizations

Use the following information and steps to manage the authorizations assigned to tasks.

  • Add: Highlight the task and click the Add button. A new row is added. Enter the Company and Organization to be authorized and select the check boxes as needed.
  • Delete: Highlight the task and the authorizations to be removed. Click the Delete button. The selected rows are removed from the authorizations view.
  • Modify: Highlight the task and the authorizations to be modified. Edit the authorizations as needed.
