Detail Pane

The detail pane allows you to view the workflow transitions, any validation issues, and a change log for the document instance displayed in the content pane. This pane is only available when a document instance is opened in the content pane.

The detail pane uses the list functionality to display data. For more information on how to use lists, see How to Work with Lists.

Display the Detail Pane

The detail pane is not automatically displayed when BST11 is opened. However, when you submit or validate a document instance, the detail pane is automatically displayed when there are validation errors.

  • To manually display the detail pane, click the expand button at the bottom of the BST11 screen. This button allows you to toggle the pane on and off from view.

Detail Pane Tabs

The detail pane contains multiple tabs, which allow you to view information about the item that is currently displayed in the content pane.

  • To switch to a different tab on the detail pane, click the drop-down list in the upper right corner of the pane and then select the tab name to display.

Transitions

The Transitions tab allows you to view a detailed list of workflow states that the current document instance has been in. This information includes the date the instance entered the state, the associated user, additional workflow information, and any added comments from the state change.

Drafts:

  • Document is checked out to you.

To Do:

  • Document is not checked out to you or anyone else.
  • You have an expected action for the current state.
    • Expected action is determined by the Actor (Expected Action is set True on an action).
    • The Access control has:
      • A Query: Determines everything you have access to.
      • An Action query: If specified, only those from the query condition that also meet this condition are actionable and will show on Can Do. If not specified, includes all from the Query condition are actionable.
      • An Expected Action query: Only those from the query condition that also meet this condition will show on To Do. If not specified, uses only the actor’s expected action to determine To Do.

Can Do:

  • Document is not checked out to you.
  • Document is not checked out to someone else or you have a Release action so you can get it checked in.
  • Document is not on your To Do list.

On Vendor Invoice Routing specifically, there are two access controls for the reviewer that use the Expected Action conditions. Therefore, what is on the To Do depends on which access control you use.

Validations

The Validations tab allows you to view a list of validation errors for a document instance. Validation errors are generated when a document instance is validated or submitted; for more information, see Validate a Document and Submit a Document. The list of errors displays the error message, the location of the error in the document instance, and the code for each error.

Change Log

The Change Log tab allow you to view a list of actions to a document instance. This is an event log of activity that includes system actions like save and submit. Before changes to a document instance are tracked, this feature must be enabled in the Model Designer for the document type.

The change log includes a list of changes with details about the action taken, which includes the date of the action, the user, and any entered comments.

For each change, you can drill down into additional information, which provides a detail of the updated fields with the old and new values. To drill down into more information, click the plus sign icon next to the row that you want additional information about.
