Manage Bill Structure

Additional Information

The Bill Structure tab allows you to define the billing structure used for each project bill term. Before a bill structure can be defined, one or more bill terms must be added for the project. Then, one or more bills tasks are added in a hierarchical list format and can be linked to project tasks to define the billing structure. Because billing can be based on a single bill task, projects tasks do not need to be linked, but this structure is typically only practical for lump sum type work.

When the first bill term is added to a project and a Fee Type has been entered at the root level of the project, the project is automatically linked to the bill term in the bill structure; for simple projects, this defines the bill structure to directly mirror the project structure.

Add a Bill Task

  1. Select one or more rows in the bill structure. If multiple rows are selected, multiple bill task will be added. When a bill term is selected, the bill task is added as a child record. When a bill task or link task is selected, the bill task is added on the same level.
  2. Click the Add button. In addition, you can click the right mouse button and then select the Add option. The add option available when the last row in the selection is a bill term, bill task, or link task.
    One or more new bill tasks are added.

Delete a Task

  1. Select one or more bill tasks or link tasks in the bill structure. Bill terms and subtasks cannot be deleted from the bill structure.
  2. Click the Delete button. In addition, you can click the right mouse button and then select the Delete option. For bill tasks, this option is only available when there are no bill tasks or link tasks below the selected bill task and the bill task is not referenced.
    The selected tasks are removed. For link tasks, this option removes the task from the bill structure and the related tasks and any subtasks will be unlinked.

Organize the Bill Structure

The bill structure is a hierarchical structure. Items in the list can be rearranged, indented, and moved as needed; for more information on hierarchical list functionality, see Manage Hierarchical Lists. With the bill structure, the following rules apply:

  • Bill terms and subtasks cannot be moved.
  • Bill tasks can be moved within a bill term but cannot be moved to a different bill term. Up to nine levels can be defined. If the bill task does not have link tasks, the Status can be changed to Ignore.
  • Link tasks cannot be on the same level as a subtask.

Link Tasks

  1. From the Tasks pane, select one or more project tasks. If there are subtasks under a selected task, all of the tasks are linked.
  2. From the Bill Structure pane, select a bill term, bill task, or link task row in the bill structure to link with the selected project tasks.
  3. Click the Link button. In addition, you can click the right mouse button and then select the Link option or drag the selected project tasks to the area of the bill structure that you want to link to.
    The selected project and bill tasks are linked. When a project task is linked to a bill term or bill task, it is added as a child task. When a project task is linked to a link task, it is added at the same level under the bill term or bill task. On the Tasks pane, the tasks will be marked as Linked, Above Link, and Below Link as necessary.

View Linked Task

  • To view the level of the bill structure where a project task is linked to, click the right mouse button on a linked project task in the Tasks pane and then select the Locate in bill structure option.

Unlink Tasks

  • From either the Tasks pane or the Bill Structure pane, select a task with a direct link, and then click the Unlink button. In addition, you can click the right mouse button and then select the Unlink option.
    On the Bill Structure pane, all of the linked tasks and subtasks are unlinked and removed from the bill term or bill task. On the Tasks pane, the tasks will be marked as Available.
