Create Purchase Order Lines from Purchase Requisition Assistant

The Create PO Lines from Purchase Requisition Assistant dialog box allows you to view and select requested line items. This dialog box is available from the Purchase Order document.

From Purchase Order, the Create PO Lines Assistant allows you to search requested items from Purchase Requisitions. You can select one or more instances from the search results. Selected results that are applied will populate items into purchase order line items.

How To Use The Create Purchase Order Lines Assistant

  1. From Purchase Order, click the Purchase Order from Requisition button in the Line Items area.
    The Create PO Line from Requisition Assistant is displayed.
  2. Enter any restrictions. This is optional. For more information on how to enter restrictions, see Restrictions.
  3. Click the Run button.
    A list of instances that match the search criteria and any entered restrictions display. Each search replaces the current contents of the Requisitions list.
  4. Click on one or more requisitions to display their associated line items.
  5. Select one or more line items from the list and then click the Move button on the context tab.

    The selected line items are removed from the list and moved to the Applied Items list.
  6. Review the instances on the Applied Items list. To remove an instance from this list, select the line item and then click the Remove button on the context tab. Removed items are not added back to the Requested list.

    Repeat selections as needed. When selections are complete:
  7. Click OK.
    The Create PO Lines from Requisition Assistant is closed. The instances in the Applied Items are used to create purchase order line items.
  Note:

Line items are only displayed when their stage is Open, i.e. they do not appear on another purchase order. And they do not exist on a Purchase Order currently in draft, including the current Purchase Order.

Screen Description

Items

The Requisitions list includes the search results to view existing lines from selected purchase requisitions. Returned items are limited to those that match the search criteria as well as any restrictions. For more information on restrictions, see Restrictions. Items Column Description

The table displays the default columns presented on the screen. Other available columns are listed below.

Source Company

Displays the source company associated with the instance.
 

Requisition Number

Displays the document number associated with the instance.
  Requisition Date Displays the document date associated with the instance.
  Requisitioner Displays the requisitioner associated with the instance.
 

Item Category

Displays the category associated with the instance.

  Item

Displays the item associated with the instance.

  Item Description Displays the item description associated with the instance.
  Requisition Description Displays the requisition description associated with the instance.
  Required Date Displays the required date associated with the instance.
 

Project

Displays the project associated with the instance.

 

Price

Displays the price associated with the instance.

 

Remaining Quantity

Displays the remaining quantity associated with the instance. Calculation is: original quantity on the Purchase Requisition - the quantity applied to any other Purchase Order - any quantity on the current Purchase Order.

 

Remaining Base Cost

Displays the remaining base cost associated with the instance. Calculation is: original base cost on the Purchase Requisition - the base cost applied to any other Purchase Order - any base cost on the current Purchase Order.

  Remaining Additional Cost

Displays the remaining additional cost associated with the instance. Calculation is: original additional cost on the Purchase Requisition - the additional cost applied to any other Purchase Order - any additional cost on the current Purchase Order.

 

Remaining Estimated Cost

Displays the remaining estimated cost associated with the instance.

Applied Items

The Applied Items list includes the search results of active purchase requisition items from the Line Items list. Returned items are limited to those that match the search criteria as well as any restrictions. The same columns are displayed and available as in the requisitions above.

The following line items on a Purchase Order can be changed when the line is added from a Purchase Requisition. All other fields are read only.

  • Quantity
  • Price
  • Base Cost (Used to calculate Cost and Cost must be within Tolerance)
  • Additional Cost (Used to calculate Cost and Cost must be within Tolerance)
  • Require Date
  • Pay When Paid
  • Require Insurance
