Prebill

The Prebill screen allows you to review charges recorded to a project that are available to be billed for a period and to determine any edits that are needed to these charges, such as transfers, holds, write-offs and rate changes. Prebills (Bill Reports) are created from a Prebill Request and cannot be directly created; for more information, see Prebill Request.

The Prebill screen has two available views, the Default view and Extended view. Both layouts have a vertical split-pane view. The left viewing pane displays the Bill Report image associated with the Prebill document and on the right is the action pane where the Prebill document information and details can be edited.

The Default view consists of two panes. This view is most commonly used by Project Managers. On the left is the Draft pane which shows a preview of the prebill report. The preview uses the report style associated with the Project’s Bill Term and can include the cover page and backup pages. The preview can be used to navigate to the values on the report that require a change, e.g., to override a bill amount. The right pane allows you to perform the selected edit. The right pane contains the comments, transactions, overrides, info and backup tabs and displays content based on the values selected on the Draft pane.

The Extended view consists of the Draft pane and five tabs. This view is intended for use by a Biller or Project Accountant. The five tabs are:

  • Comments tab - Allows you to enter comments associated with the entire prebill. There are two separate Comment areas, the Comment History and New Comment.

  • Transactions tab - Shows all the billable charges that are included in the prebill. You can enter and if required, update transactions, such as transfers, write-off, holds and reprices against the billable charges.

  • Overrides tab - Allows you to update an item from the cover page section of the prebill. There are two types of updates, a comment and a bill control override.

  • Info tab - Includes all the values shown on the cover page of the prebill report. You can edit the cover page values from this tab. Examples include variable descriptions and bill control overrides.

  • Backup tab - Displays the backup information that is either copied from Prebill. The Backup tab is automatically updated when Final Bill Initialization is run.
