How to Export Data

The Export Request screen allows you to add and define export requests. Each export request represents a set of data, including one or more documents, that will be exported from the system to an external CSV (comma separated value) formatted file. The exported CSV file provides a flattened, composite of all of the underlying parent-child data, and the format of the file is determined by the selected Document to Export, Export Format, and Export Template. The exported data can be additionally filtered using the export filters and a small subset of the data can be viewed in the Preview area.

Warning: Exporting very large data sets, over one million records, can consume significant system resources that may affect the overall system performance for BST11. It is recommended that large data extracts be completed during off-hours when the system load is minimal.

Submit an Export Request

  1. Create an Export Request.
  2. In the General area, enter general information about the export.
  3. In the Export Configuration area, select the type of data to export and how the exported data will be formatted.
  4. In the Email Notification area, select when an email notification should be sent, the group to receive the email, and the template used to create the email.
  5. In the Export Filters area, enter filter criteria to restrict the data that will be included in the exported file.
  6. In the Preview area, click the Run button.
    A sample of the data (25 lines) that will be included in the exported file is displayed. Use the preview to verify the format and content that will be exported.
  7. From the toolbar, click the Submit button.
    The export is run. Once complete, the exported file is zipped and attached to the Export Request document.

Open an Export File

After an export request is submitted, the data is formatted into a CSV file that is zipped and attached to the Export Request document. Attachments can be downloaded from the Navigation pane - Attachments tab. For more information about the Attachments functionality, see Attachments. Once downloaded, the CSV file attachment will need to be unzipped before it can be used.
