Expense Report Category
The Expense Report Category screen allows you to add and define expense report categories. Expense report categories help to categorize and organize expenses assigned to each expense report. They also determine the General Ledger accounts used to post items when the category is selected.
General
In the General area, enter general information about the expense report category.

Code |
Enter a unique alphanumeric key to identify the document. Once a code has been entered and the document has been submitted to final, it typically cannot be changed. |

Name | Enter a name to describe the document. The name does not have to be unique. |
| Type |
Select if this is for a Company Unit, Company Expense, Employee Unit, or Employee Expense. When this field is edited, any values entered in the Unit field and all accounts from the Companies area are cleared. Once the document has been submitted to final, this value cannot be edited. |

| Unit |
Enter or select the unit to be charged. This field is available and required if Type is set to Company Unit or Employee Unit. When the Type is Company Unit, the selected unit's Source Type must be Company; When the Type is Employee Unit, the selected unit's Source Type must be Employee. |

| Posting Type |
Select one or more posting types to control if the category can be used for project and non-project related expenses. Available options include all, Chargeable Task, Non-Chargeable Task, and Non-Project. This selection is applied to all companies using the category and controls which accounts are required in the Companies area. By default, all posting types are selected. Once the document has been submitted to final, this value cannot be edited. If Type is set to Company Unit, this field is read only. For labor type units, only Chargeable Task and Non-Chargeable Task are available options. |

Companies
In the Companies area, define the accounts used to post the expense amounts when the category is used. Groups of accounts are defined by the selected company. For more information about account setup, see Account
Once a company has been entered and the document has been submitted to final, it cannot be deleted.

Chargeable Debit Account |
Enter or select the debit account to use when expense report items are charged to a chargeable project task. This field is available and required when Chargeable Task is selected in Posting Type. Only active or pending active expense type accounts that have a chargeable task posting type and belong to the Company can be selected. |

Non-chargeable Debit Account |
Enter or select the debit account to use when expense report items are charged to a non-chargeable project task. This field is available and required when Non-Chargeable Task is selected in Posting Type. Only active or pending active expense type accounts that have a non-chargeable task posting type and belong to the Company can be selected. |

Non-project Debit Account |
Enter or select the debit account to use when expense report items are not charged to a project task. This field is available and required when Non-Project is selected in Posting Type. Only active or pending active expense type accounts that have a non-project posting type and belong to the Company can be selected. |

Unallowed Chargeable Debit Account |
Enter or select the debit account to use when expense report items are charged to a chargeable project task but are disallowed. This field is available and required when Chargeable Task is selected in Posting Type. Only active or pending active expense type accounts that have a non-project posting type and belong to the Company can be selected. |

Unallowed Non-chargeable Debit Account |
Enter or select the debit account to use when expense report items are charged to a non-chargeable project task but are disallowed. This field is available and required when Non-Chargeable Task is selected in Posting Type. Active or pending active expense type accounts that have either a non-project or non-chargeable posting type and belong to the Company can be selected. |

Unallowed Non-project Debit Account |
Enter or select the debit account to use when expense report items are not charged to a project task and are disallowed. This field is available and required when Non-Project is selected in Posting Type. Only active or pending active expense type accounts that have a non-project posting type and belong to the Company can be selected. |
| Credit Account |
Enter or select the account to use to record credits for expense report items. This field is available and required when the selected Type is Company Expense. Only active or pending active accounts that belong to the Company and are one of the following types can be selected: non-project expense account; liability account where subsidiary is none; or asset account where posting type is non-project and subsidiary type is none or other receivable. |
