Email Configuration

The Email Configuration screen allows you to define settings that control how emails are sent from the application. These settings must be defined before emails can be processed. There can only be one email configuration record for your BST11 system.

 

Note: Before implementing the email functionality, review your email server's sending limits. There may be limitations on the number of email messages a user can send within a specific period of time. For example, Office 365 allows users to send 30 messages per minute and 10,000 emails per day. The email functionality can exceed these rates depending on your usage. If you have an email capacity limitation, it may be necessary to use a third-party bulk email provider.

General

In the General area, enter basic information about the email configuration record.

Code

Displays 1 as the default code for the email configuration. This value cannot be changed and limits the environment to only one email configuration record.

Name Enter a name to describe the document. The name does not have to be unique.

Email Settings

In the Mail Settings area, enter information to control how emails are sent from the application.

From Address

Enter an email address. This address will be used to send emails. Up to 256 characters can be entered.

  From Name

Enter a name. This name will display with the address when emails are sent. Up to 128 characters can be entered.

Max Emails Per Minute Enter the maximum number of emails allowed to be sent per minute.
  Retry Count Enter the number of times an email attempts to resend if a failure has occurred.
  Retry Interval Enter the amount of time, in milliseconds, between retry attempts.
  Max Attachment Size (MB)

Enter the maximum combined file size allowed for all attachments in a single email.

  • The system uses the value in this field to validate outgoing emails. Emails that exceed this file size are not sent and result in an error message. (See Also: Large File Size Error Message)

  • When the field is blank, the system does not validate attachment size. Emails rejected by the email server due to size do not result in a warning or notification.

  • Default: blank

  • Min value: 1(zero is not a valid character)

SMTP Authentication

In the SMTP Authentication area, enter email authentication information for the email service.

Host Enter the SMTP host name for the email configuration.
  Port

Enter the SMTP server port number used to sent emails.

  Authentication Type

Select the type of SMTP authentication used for your email. By default, Anonymous is selected.

Available options include:

  • Anonymous: This option uses anonymous authentication to send emails.
  • Basic Authentication: This option uses basic authentication to send emails. When this option is selected, a username and password must be entered.
  • OAuth2: This option uses Azure AD authentication which allows users to send email from processes such as prebill, payroll, import, and export.

Username

Enter the SMTP username for the email account. This is available and required when Basic Authentication (Authentication Type) is selected.

Password

Enter the SMTP password for the email account. This is required when Basic Authentication (Authentication Type) is selected.

Large File Size Error Message

When the combined size of all attachments in an email exceeds the value set in the Max Attachment Size field, the email is not sent and an error message displays on the page. The error message specifies the size limit, but does not provide details about the specific attachments. To view individual attachment details, go to the Email document and select the attachment icon from the left side fly-out pane.
