Collection Note Request

The Collection Note Request screen allows you to query outstanding Bills that have not been paid. Based on the user entered restrictions, the request returns results which, if not removed, will have Collection Note documents generated when the request is submitted.

General

In the General area, enter general information about the collection note request.

  Field Description
Document Number Enter a unique number to identify the collection note request.
Document Date Enter or select the collection note request date. The default is the current date.
Aging Date

Enter date that is used to create Aging Buckets in the inquiry and that is not used to restrict data.

  Description Enter optional text to describe the nature of the request beyond the typical posting data.

Bills

Restrictions

The Billsarea allows you to search for and review all project and project transactions for inclusion in the prebill. Returned instances are limited to those that match the any entered restrictions. The default restrictions are: Aging Criteria,Company , Bill Client, Project, and Days Old.

 

Note: Aging Criteria and Days Old restrictions work together to determine which Bills to return. For example, if you want to pull in Bills that are 30 days outstanding past the due date or past the document date of the Bill, you would need to specify which criteria to base the Days Old on.

Results

Click the Run button to initially present or update the results grid with new results marking them as Current Results. Any additional runs will mark the existing results as Previous Results. The default columns presented are: Bill Client, Project, Bill Number, Bill Amount, Bill Balance, andDays Old. Additional columns are also available.

Any records for which a Collections Note is not desired can be removed from the results grid by selecting the row(s) and clicking the Remove button presented on the on the descending tab. Rows can be removed by selecting multiple rows or an individual row. Submission of the request generates new Collection Note documents for the remaining line items.
