Review Assignments

The Resource Plan screen allows you to manage project workload for labor resources. Once you have loaded the resource plan, this screen allows you to review and then add, edit, or delete assignments as needed.

While you can review assignments in any plan view, you can only edit and delete assignments if you have selected the Current or Current vs. Published plan view.

Use the following information and steps to review the resource plan:

Review Employee Assignments

The resource plan is reviewed on the Results pane, which displays a list of resources and their assignments that are in your resource pool and match the entered restrictions. The pane is divided into three sections, which include resource details, hours, and totals data.

The Hours section of the Results pane includes the assignments and colored icon indicators that display different conditions and information about an employee's assignment in Current Plan view. These indicators are not used for labor resource class resources.

Employee assignments can span multiple plans/resource managers. While you can only view assignments that you are responsible for, the over allocation and underutilized indicators include data for all assignments in the system for the employee in the date range. Also, an employee can be both underutilized and over allocated because utilization is based on assignments to chargeable tasks and allocation is calculated on all assignments.

  • To view a resource's assignments list, click the plus sign next to the resource row; to collapse the assignments list, click the minus sign .

Utilization

An employee resource is underutilized when their scheduled chargeable hours are less than their goal for chargeable work. Utilization is based on the employee's current work calendar.

The employee's base goal is defined as the Utilization Goal Percent in their Employee record. However, the utilization calculation uses an adjusted utilization capacity, which reduces the employee's capacity based on assignments to certain non-chargeable tasks. The excluded tasks are defined in the Fee Type and Fee Type Map for the task.

Underutilization is displayed as a blue, down arrow () to the right of an assignment value. The indicator displays for assignment rows but also rolls up to resource rows.

Allocation

An employee resource is over allocated when they are scheduled to work more hours than they are available for the selected time period. While you can only view assignments that you are responsible for, allocation is calculated based on data for all assignments in the system for the employee in the date range. This is calculated when the screen is loaded and when assignments are added, edited, or deleted. Allocation is based on the employee's current work calendar.

Over allocation is displayed as a red, up arrow () to the right of an assignment value. The indicator displays for assignment rows but also rolls up to resource rows.

  • To view the hour totals that lead to over allocation, hover over the cell.

Add an Assignment Row

A task assignment can be added to any resource listed in the Results area. If the screen is restricted or filtered and the added assignment does not meet the criteria, it will be removed from the screen but is not automatically deleted.

  1. Place the cursor below a resource row.
  2. Click the Add button or click the right mouse button and select the Add Task option.
    A new, blank assignment row is added after the last assignment for the resource.
  3. In the Name field for the assignment, select a project and task combination. The list includes tasks in both a draft and final state.
    The selection displays as a combination of the project code, task code, and task name for an assignment. Also, the resource's Resource Pool defaults but can be edited.
  4. Complete the remaining assignment field as needed. For additional information on the fields, see Resources.

Delete an Assignment

Assignments and assignment rows can be deleted as needed. Whether you delete an individual assignment or an assignment row, published assignments are not deleted when you work in either of the current plan views.

  • Delete Assignments: Select one or more cells with assignments; cells for multiple resources can be selected, if needed. Press the Delete key.
    The selected assignment values are removed.
  • Delete Assignment Rows: Select one or more assignment rows. Click the right mouse button and select the Delete Task option.
    The select assignment rows within the selected data range are deleted. If all of a resource's assignments are removed, they will no longer display on the screen.

Set an Assignment as Tentative

When assignments are not confirmed, you can enter the data and then mark the assignment as tentative. This flag does not affect the assignment; it is used to communicate to other plan reviewers that the assignment is not definite.

Tentative assignments are displayed with a dash () to the right of an assignment value. Due to the different timescale views, a cell could contain tentative and non-tentative assignments; cells with a combination of assignments display with a broken dash () to the right of the assignment value. In addition, the indicator displays for assignment rows and also rolls up to resource rows.

  • Mark as Tentative: To mark assignments as tentative, select a cell, block of cells, one or more tasks, or one or more resources, and then click the right mouse button and select the Set Tentative option.
    All selected assignments are updated. When multiple assignments are selected, all are set to tentative. If an entire row is selected, assignments greater to the Start Assignment Period are updated.
  • Remove Tentative Flag: To remove the tentative flag, select an assignment and then click the right mouse button and select the Set Tentative option.

Submit Changes

After you have made changes to the resource plan, you may want to update the plan so other users can review it before you are ready to publish assignments. For information on how to publish assignments, see Publish Assignments.

Note: If you add, edit, or delete an assignment that falls within a date range and then change the date range displayed, the changes are maintained and if submitted will save even though they are not visible on the screen.

  1. Click the Save button.
    Your changes to the plan are saved.
  2. Click the Submit button.
    Your changes to the resource plan are saved to a Final state and other reviewers of the plan can see the changes.
